International Freelance Invoice: A Worked Example and Pre-send Check

Editorial review: 17 October 2026 · Published by Freelance Fee Calculator

A useful international invoice matches the agreement and gives the payer enough information to process it. The checklist here is operational; mandatory invoice fields and tax treatment depend on the relevant countries and your registration.

Agree billing instructions before delivery

Ask for the payer’s correct legal name, billing address, billing contact, any purchase-order reference and the agreed invoice currency. Confirm the payment channel and who bears which charges. Keep a written record. Verify changes to bank instructions through a previously trusted contact method; an unexpected email with new banking details should not be accepted without checking.

Reproduce a $621 invoice

Illustration: two design units at $300 each give a $600 subtotal. A 10% discount removes $60, leaving $540. An assumed 15% tax applied after that discount adds $81, giving $621. The tax rate and base are hypothetical. In our invoice generator, enter quantity 2, rate 300, discount 10 and tax 15. Confirm your local tax rules before using these figures for a real invoice.

Sample payment note

“Invoice INV-104 relates to project WEB-07 and the delivery accepted on [date]. Total due: USD 621. Due date: [agreed date]. Please quote INV-104 as the payment reference. Contact [billing email] before changing the payment method.” Add only verified payment details through the channel agreed with the client. This wording does not settle legal or tax requirements.

Reconcile a short payment

If $621 was billed and $606 arrived, record a $15 difference. Ask whether it is a provider charge, intermediary fee, withholding, exchange effect or partial payment. Obtain the settlement evidence before classifying it. Do not silently mark a short payment settled or create a tax credit without the appropriate documentation and treatment.

Final check and record

Match invoice totals against line items, discount and tax; check the exact currency, issue date, due date and agreed scope; confirm required local identifiers and tax statement; verify recipient and attachments. Preview both language versions and retain the actual PDF sent. Our generator prepares a document locally and does not email it or verify its legal compliance.

Frequently asked questions

Should I invoice in USD?

Use the currency agreed with the client and confirm payment availability and applicable rules. No currency is universally best.

Are foreign clients exempt from VAT?

Not automatically. Customer status, service type, registration and place-of-supply rules can matter.

Which payment provider is cheapest?

Compare complete quotes for the same amount, currencies and arrival time; there is no universal cheapest option.

Sources and jurisdiction limits

Sources apply to the named service or jurisdiction. Do not turn one country’s guidance into a worldwide rule; verify the terms relevant to your situation.

Reconcile the invoice, receipt and platform deduction

Use three separate figures for the fictional project: contracted value $1,500; first invoice $600; future milestones $900. If the first invoice is paid in full through a hypothetical provider deducting $18, the bank receipt is $582. The invoice amount remains $600; the deduction is a separate cost in this example. Record the provider statement alongside the invoice rather than changing the original line item to $582.

If only $400 is paid against the $600 invoice, the unpaid balance is $200. That is different from the $900 of future work which has not yet been invoiced. Label a payment as partial, and connect it to the invoice reference. If a client disputes the difference between the amount sent and the amount received, compare the sending confirmation, provider statement and agreed fee responsibility before requesting another payment.

For an invoice denominated in USD but paid in another currency, agree the conversion method and who bears conversion costs before payment. Record the actual provider quote and transaction evidence; do not substitute a search-engine exchange rate for the executed rate. This tool produces invoice arithmetic, not foreign-exchange settlement or statutory bookkeeping.

Check corrections without losing the audit trail

Before sending, verify the legal parties, currency, invoice reference, supply description, issue and due dates, and any locally required registration or tax fields. Send a preview to yourself and compare the total with the approved milestone. If a sent invoice needs correction, preserve the original and follow the correction or credit-note procedure applicable to you. Do not silently overwrite a document the client already holds.
