Understand the invoice total before you send it

This generator prepares an invoice document from the details you enter. It does not send the invoice, collect payment, verify a tax registration number or create an entry in your accounting system. Review the preview and keep your own copy of the final PDF.

Calculation order: quantity × rate for each line; add line totals to get the subtotal; deduct the percentage discount; calculate the entered tax percentage on the discounted subtotal; add that tax to get the final total.

Worked example you can reproduce

Enter a design line with quantity 2 and rate $300, plus a review line with quantity 3 and rate $100. The subtotal is $900. A 10% discount removes $90, leaving $810. An illustrative 15% tax adds $121.50, so the final invoice total is $931.50. These percentages demonstrate the arithmetic and are not a recommendation to charge tax.

Changing the currency changes the invoice denomination, not the numerical exchange value. For a EUR invoice, enter the amounts agreed in EUR. The generator does not fetch an exchange rate or convert a USD quotation into EUR.

A practical pre-send check

Use a unique invoice number that matches your records. Check the legal names of the supplier and customer, the service description, quantities, agreed currency, issue date and due date. Describe the deliverable clearly enough that the client can match the invoice to the approved work.

Add payment instructions and a reference in the notes where appropriate, then verify them before sharing. A due date is a payment request, not proof that money has arrived. Record the actual payment separately and reconcile any processor fee or currency difference against the invoice.

Limits and document handling

Tax requirements depend on your registration, customer location and type of supply. This tool uses one entered tax percentage and a single invoice currency. It does not validate VAT treatment, reverse-charge wording, mandatory national fields or electronic-invoicing rules. Check the required format before relying on the document for tax reporting.

An unpaid invoice, a receipt and a credit note serve different purposes. Do not overwrite an issued invoice silently to correct a paid transaction; follow the correction process required for your records and jurisdiction. For a staged project, make clear which milestone this invoice covers and whether any deposit has already been invoiced.
