⏱️ Freelance Rate Calculator
Work backward from your target income, annual costs and estimated billable time. Test assumptions against your own records.
- Check what similar freelancers charge on Upwork, Fiverr, or LinkedIn for a rough sanity check — this number is a floor, not a ceiling.
- If you're new to a skill, it's fine to start lower — but revisit this calculation every few months as you gain experience.
- For fixed-price projects, estimate the named tasks, revisions and risks explicitly. Any contingency should reflect those assumptions rather than a universal percentage.
How this planning rate is calculated
The result is an income-planning floor based on your inputs, not a market quote or a promise of earnings. All money fields use the currency you select; changing the currency does not convert an existing amount.
Annual revenue = (annual take-home target + annual business expenses) ÷ (1 − tax reserve percentage ÷ 100). Annual billable hours = working weeks × hours per week × billable percentage ÷ 100. Hourly rate = annual revenue ÷ billable hours.
Worked example: separating available hours from paid hours
Suppose you want $24,000 a year after your modeled costs, expect $6,000 of annual business expenses, and enter a 20% tax reserve. The calculator requires $30,000 ÷ 0.80 = $37,500 of annual revenue. With 46 working weeks, 35 hours per week and 60% billable time, you have 966 billable hours. The planning rate is $38.82 per billable hour.
If billable time falls to 40% with the other inputs unchanged, billable hours fall to 644 and the rate rises to $58.23. Sales calls, proposals, bookkeeping and learning consume time even when a client does not pay for them. Use your own recent time records to estimate the percentage rather than assuming every working hour is billable.
What the result leaves out
The tax field is a simplified reserve applied to the combined income-and-expense target. It does not model deductible expenses, tax brackets, VAT, social contributions or local filing rules. Use an appropriate reserve for your situation; this tool does not calculate your legal tax liability.
Platform and withdrawal fees are not deducted separately here. If you need $38.82 after an illustrative 10% platform fee, quote $38.82 ÷ 0.90 = $43.13 before other costs. Do not add the same fee again if you already included it in your expense assumptions. The day rate assumes five working days per week, so a 35-hour week uses seven hours per day.
Before sending a quote
Turn the hourly figure into a project estimate using named tasks, expected hours, revision limits and delivery assumptions. Compare the result with your client's scope, then record actual hours after delivery and revisit the calculation. A higher rate cannot compensate for an undefined scope.
